Set up Stripe.

Connect your Stripe account to CrowdFlow so guests can pay for a song request. This guide walks you through setup step by step.

Have these things ready

Stripe handles payments and pays the proceeds into your bank account. CrowdFlow shows the request in your live list. You only need to connect the two accounts once.

  • An email inbox you can access, and your phone.
  • Your full name or company name, address and contact details.
  • The IBAN and account holder’s name for your payout bank account.
  • An official identity document and, if Stripe requests them, business documents.

Setup is often easier on a laptop. Keep this guide open in one tab and set up Stripe in another. Stripe’s questions and labels may vary depending on your country, legal form and account status.

Create your account

  1. Open the Stripe website or go straight to Create a Stripe account.
  2. Under Email enter an email address you can access; under Full name enter your real first and last name; under Password enter a new, secure password. Select the correct Country for your account.
  3. Click Create an account. Then open your inbox and confirm your address through Stripe’s email if prompted.
  4. Log in to Stripe. Its management interface is called the Dashboard. Set up the additional login protection offered, such as a passkey or authenticator app. Follow the steps shown and store recovery codes securely.

Describe your business and service

Follow the Dashboard prompt to activate your account for live payments. A newly created test environment or sandbox alone is not enough.

Country and legal form
Choose your business’s country and actual legal form. If you operate alone as a sole trader, select that option. Only enter a company structure if it really exists.
Name, address and business details
Copy the details exactly as they appear in your documents. A DJ stage name does not replace your legal name. Enter registration or tax numbers if Stripe requires them for your legal form.
Industry and description
Choose the category that best describes your actual DJ service. Briefly explain what guests pay for. Adapt the example below to your service.

“I work as a DJ at events. Through CrowdFlow, guests can highlight song requests with a voluntary extra contribution. No specific playback or playing time is guaranteed.”

Don’t have your own website?

Stripe generally also accepts a public business social media profile to describe your business. Enter the full link, for example to your DJ profile. It should clearly show your business name, service and contact details. The general CrowdFlow homepage alone does not describe your own business sufficiently.

Stripe decides whether the profile is sufficient based on your details and may request more information. Add exactly what it asks for.

Add identity, bank account and public details

  1. Verify your identity: Fill in the details of the person responsible. Depending on the business, Stripe may also ask about authorised representatives or owners. If an ID or other proof is requested, upload the complete, clearly legible document directly to Stripe.
  2. Add a payout bank account: Enter the account holder and IBAN for the correct bank account. Check both carefully. Your Stripe account must use euros as its default currency for this CrowdFlow connection.
  3. Fill in public business details: If needed, open public details in Stripe. Enter your provider or company name, a working support email, phone number and business address. Guests use these details to contact you.
  4. Choose a recognisable billing name: If Stripe asks for a statement descriptor, use a suitable, recognisable business name. This helps guests identify the payment later.
  5. Complete the review: Review the summary and submit your details. Check Dashboard notices and emails from Stripe. Add anything missing there. Verification may take extra time.

Public business details are separate from your personal verification documents. CrowdFlow uses Stripe’s public contact details for the request form. Your ID copy and bank details are not published in the form.

In CrowdFlow and Stripe

Connect Stripe to CrowdFlow

  1. Log in to CrowdFlow with your DJ account and open Settings → Song requests. Go to the section Requests with an extra contribution. The link below takes you straight there.
  2. Click Connect your Stripe account. You’ll be redirected to Stripe.
  3. Log in to Stripe if you haven’t already. If several accounts are offered, select the one you want to use for song request payments.
  4. Check the connection to CrowdFlow shown on screen and confirm access. If Stripe still needs setup details, complete them during this process.
  5. Wait to be returned to CrowdFlow automatically. Keep the tab open until then. In the Stripe account section, you should now see Connected as the status.

Still seeing a request to finish setting up Stripe? Complete the outstanding items in the Stripe Dashboard. Then, in CrowdFlow, open Stripe account & payment methods and click Check status again.

Check your provider details

After connection, CrowdFlow imports the available public details from Stripe. Check the fields under Provider details and fill in anything missing. Guests should be able to see who their provider is before paying.

Full name or company
Your legal provider name. As a sole trader, enter your first and last name; a stage name alone is not enough here.
Public contact email
An email address where guests can reach you with questions about their request or payment.
Business address
Street and number, postcode, town and country. Check line breaks and make sure nothing is missing.
Public phone number
A working number, preferably with country code, for example +49 for Germany.
How do you handle VAT?
Choose the option that applies to you: My price includes VAT or Small business VAT exemption (§ 19 UStG, German VAT Act). CrowdFlow does not determine your tax status automatically. If you’re unsure, check with your tax adviser before enabling payments.

Link your own legal texts is optional. Without your own links, the form uses CrowdFlow information on the service, privacy and refunds. Read through it once. You don’t need your own website for these links.

Set your price and enable payments

  1. Under Accept requests choose either Free + extra contribution or Paid requests only. The first option lets guests keep requesting songs for free and choose an extra contribution if they wish.
  2. Under Price / minimum price enter your amount, for example 1,00 €. The lowest possible amount is €1.
  3. Choose the Price type: with Fixed price each guest pays exactly the amount you set. With Minimum price – guests can pay more guests can increase their contribution in whole euros.
  4. Decide whether Accept paid requests for the same song more than once should be enabled. Each purchase of the same song will then be added as a separate request.
  5. Set the switch next to Requests with an extra contribution to On. Then click the shared Save changes button in song request settings. It stays visible as you scroll.
An easy starting point

Free + extra contribution · €1 minimum · guests can pay more. Standard requests stay free, and guests can choose €1, €2 or €5, for example, to highlight theirs.

Then check the status Guest form: depending on your choice, it should show Free or with an extra contribution or Only requests with an extra contribution as the status.

In CrowdFlow and Stripe

Check cards, Apple Pay and Google Pay

  1. In CrowdFlow, open Stripe account & payment methods and click Payment methods in Stripe.
  2. In the Stripe Dashboard, check that you are in the connected account and live payments area. Sandbox or test mode settings do not change live payments.
  3. If Stripe offers several payment configurations, choose the one for CrowdFlow or the connected platform. Check the payment methods offered there and enable the available options you want.
  4. Complete any further requests from Stripe. Then reopen your guest form to check the display.

Which buttons will guests see? Stripe shows payment methods suitable for the device and account. Apple Pay or Google Pay appears only when enabled and usable on that device, for example with a card added. That’s why not every guest sees both wallets. Card payment is another option.

PayPal and delayed-confirmation payments are not available in this CrowdFlow integration. Enabling a method in Stripe therefore does not automatically make it appear in the request form.

In the request form

Check what your guests see

  1. Open your current song request link or scan your QR code with your phone. For an event link, check that specific event’s form.
  2. Enter a name and song. Check that the extra contribution is offered and the payment button shows the correct amount.
  3. Open the payment window. Check the amount, your provider details and available payment methods. For this visual check, you can close the window before finally confirming payment.

Guests can now pay

If Stripe is connected, your provider details are complete and the form shows the correct amount, you’re ready.

What do you do when a request arrives?

In your Live list the request is highlighted and shows the amount. The payment is initially authorised. Click Approve to capture the amount. Click Reject to release the authorisation. If the payment has already been captured, the action is called Decline & refund and issues a full refund.

Unaccepted authorisations are released at the end of the event or after six hours at the latest. Payout to your bank account follows your Stripe payout schedule. The expected date appears in the Stripe Dashboard.

When something gets stuck

The confirmation email hasn’t arrived.

Check your spam folder and the address you entered. Ask Stripe to resend the confirmation if that option is shown. Use the same email for login as you used to register.

I’m not returned to CrowdFlow after connecting.

Reopen CrowdFlow, log in and go to song request settings. Check the connection status first. If it is incomplete, restart using Connect your Stripe account or Restart Stripe connection. Complete the process in the same browser.

Stripe is connected, but I can’t enable payments.

Open Stripe account & payment methods and read the notice. Complete the requested details in Stripe, then click Check status again. Payments and payouts must be enabled, and the account must use euros as its default currency. Also check the provider details and tax notice in CrowdFlow.

My provider details are still empty or incorrect.

Complete the public business details in Stripe. Personal details used only for identity verification are not imported as public contact details. Check the status again and complete any remaining empty fields in CrowdFlow. Review and correct details you entered yourself directly in CrowdFlow. Finally, click Save changes.

The guest form still offers only free requests.

Check the On switch, complete provider details and Stripe account status. Save song request settings and reopen the guest form. For event links, the option must be active in the correct event context. If payments fail, free requests remain available as a fallback.

Apple Pay or Google Pay is missing, or another method still appears.

Check the connected Stripe account, live mode and, if applicable, the CrowdFlow payment configuration. Changes to another configuration do not apply here. Reopen the payment window afterwards. A wallet requires a compatible device and an eligible card to be set up. Stripe’s available methods can therefore differ between devices.

Stripe says the account is already connected.

Check that you are logged in to the correct CrowdFlow account. One Stripe account cannot be assigned to multiple CrowdFlow accounts at the same time. If you don’t know where it is connected, contact CrowdFlow support and include the error message shown.

Fees and refunds

Platform fee: Basic 10%, paid plans 5% of the amount paid, plus Stripe fees. Der für dich geltende Plattformanteil steht auch unten in den Zahlungseinstellungen.

The platform fee is deducted when the contribution is captured. Guests receive their entire amount back for a full refund. After a payment has actually been captured, Stripe may keep its original processing fees even if it is refunded. Paid requests that fail for technical reasons are automatically refunded in full after review.
