Getting started & guest access
What is CrowdFlow Live?
Guests scan a QR code and send you song requests or messages. You read requests in the live list. Messages can appear on Chatwall, with your approval first if you choose.
Do my guests need an app or account?
No. Guests scan the QR code and open the page directly in their smartphone browser.
What do I need to use it?
For song requests, you only need a visible QR code. Open the Chatwall display on a computer or compatible TV, then show it on a television, projector or LED wall.
Does CrowdFlow Live need an internet connection?
Yes. Your guests’ phones and the device showing your live view need internet access.
Can song requests and Chatwall share one QR code?
Yes. Enable the guest hub with Chatwall or Enterprise. Guests scan one code and choose whether to request a song or send a message.
Which form designs are available?
Midnight, Clear and Champagne. The shared design applies to the song request and Chatwall forms, including the welcome notice.
QR codes
Which QR code should I use for printed material?
Use the permanent song request QR code. It stays the same, opens the currently valid form and can optionally be protected with a PIN.
What’s the difference between permanent and daily QR codes?
The permanent QR code stays the same on flyers and signs. Daily links and their QR codes change every day at 08:00 Berlin time.
Can someone reuse an old daily link later?
Daily song request links change at 08:00 Berlin time. The Chatwall display link stays valid for up to 48 hours so an ongoing or early-starting event is not interrupted. A permanent QR code remains accessible.
Where can the Chatwall QR code lead?
Choose between the Chatwall form directly and the guest hub with song requests and Chatwall.
Can I customise the song request QR display?
Yes. Adjust the notice text, font, font size, text colour and background colour in QR settings.
Song requests & events
What does a guest enter for a song request?
Name, artist and song are required. A comment is optional.
Is Spotify required for song requests?
No. Guests can enter requests without Spotify. When search is available, suggestions help identify the right track.
How does the Basic allowance work?
Basic includes 100 song requests per month. Each period runs from 08:00 on the first day of the month to 08:00 on the first day of the next month.
What happens if the limit is reached during an event?
The current night is not cut short. The restriction takes effect at the next changeover at 08:00.
What can I do in the live list?
Search, pin important requests, hide or remove entries, spot related requests, and archive the night or save it as a PDF.
What prevents accidental duplicate submissions?
If a guest taps Send twice in quick succession, the request is saved only once. The live list can also flag repeated artist and title combinations.
How do welcome notices work?
Save and enable separate texts for song requests and Chatwall. Choose to show them once per night or on every page visit. Turning them off keeps the text for future events.
Can I show my own link on the song request form?
Yes. The optional extra button can link to a tipping page, your website or more event information, for example.
Can I collect requests before an event?
Yes. Create an event and share its own link or QR code. Advance requests stay separate from the current live list.
How do notifications work?
Enable notifications for new requests and check them with the test function. Your browser must allow notifications.
Chatwall
How long can a message be?
A Chatwall message can contain up to 120 characters.
What’s the difference between manual and automatic approval?
With manual approval, you read each message before it appears on screen. With automatic approval, it appears straight away. Word filters and device blocks are available in both cases.
Can I edit messages before approving them?
Yes. Edit a message before displaying it or reject it. If someone repeatedly disrupts the event, you can block their device temporarily.
How do word filters and blocks work?
Add your own filter terms and temporarily block devices that repeatedly cause disruption. You can lift a block in the Chatwall section.
Is there protection against repeated submissions?
If the same device sends an identical message twice in quick succession, it enters the queue only once.
Can I send my own message to the display?
Yes. Your own message is given priority on the display.
How do I customise the display?
Use the live preview to adjust fonts, sizes, colours, message spacing, rotation intervals, scrolling banners and background images.
Are messages archived permanently?
Guest messages do not have a permanent analytics archive like song requests. Messages and blocking information are managed during use and deleted after 16 hours by default.
Archives, analytics & feedback
Which plans include archives and analytics?
Archiv and Enterprise include the archive view and analyses of songs, artists, genres and activity over time.
Will I lose saved data when I change plans?
No. Changing plans does not automatically delete your requests. You still need a plan that includes archives and analytics to access those features.
Which analyses are available?
They include activity over time, top songs, top artists, genre distribution, genre trends, song age, time of day and day of the week.
Can I download the results?
Yes. Save archive folders as PDFs and download charts individually or together.
How do star ratings and mood feedback work?
Choose whether guests can give star ratings or share their mood. Analyse the results for a date range you choose, then keep them in your history.
Plans, account & privacy
Which plan is right for me?
Basic is a good starting point. Archiv adds song requests without a monthly quota and analytics; Chatwall adds live message display. Enterprise brings all features together.
Is there an option for just one event?
Yes. The Enterprise day pass unlocks Enterprise features for 24 hours.
Where do I manage my plan and payments?
Open Account. You’ll find your plan, payments, billing details and email preferences there.
Where do I change billing details or my password?
Under My details on the account page. Your saved billing address is also available when you subscribe to a plan.
Which optional emails can I choose to receive?
Your account has one shared preference for marketing emails, including offers, promotions and CrowdFlow Live news. Unsubscribe at any time in your account or through the unsubscribe link in any such email. Necessary account, security, billing and contract messages are unaffected.
What information do guests provide?
Song requests require a name, artist and song; comments are optional. Chatwall processes the message together with a pseudonymous visitor identifier.
